Overview
Extra Mile Institute (“EMI”, “we”, “us”) operates The StepBack App (“the App”), a team culture and performance platform. This Privacy Policy explains how we collect, use, and protect information when you use the App.
Information We Collect
Information you provide:
- Name and email address when you create an account
- Responses to StepBack session reflection questions
- Voluntary submissions including behavior observations, video links, written feedback, and insights you choose to share with your team or leadership
Information collected automatically:
- Login activity and session timestamps
- Device type and operating system (for app functionality)
Information provided by your organization:
- Behavioral assessment report data uploaded by your organization’s administrator
- StepBack session content including videos, reflection questions, and practice tools deployed by your facilitator
- Team and organizational assignments
How We Use Your Information
We use your information to:
- Provide access to StepBack session content deployed by your facilitator
- Store your personal reflections (visible only to you unless you choose to share)
- Display your behavioral growth profile
- Allow organization administrators to manage teams and track engagement
Who Can See Your Information
- Your private reflections — only you
- Shared reflections — you control what you share with your leadership, coaches, or managers. Reflections are private by default. You will always be informed of who can see your shared content before submitting.
- Your profile and team assignment — your organization’s administrator and facilitator
- Your behavioral assessment report — you and your organization’s administrator
- EMI — can access data for support and maintenance purposes only
Data Storage and Security
Your data is stored securely using Supabase, a SOC 2 compliant database platform. All data is encrypted in transit and at rest. Access is controlled by role-based permissions — users can only access data appropriate to their role.
Data Retention
We retain your data for as long as your organization maintains an active account with EMI. You may request deletion of your personal data by contacting us at info@extramileinstitute.com.
Third Party Services
The App uses the following third-party services:
- Supabase — database and authentication (supabase.com/privacy)
- Vercel — app hosting (vercel.com/legal/privacy-policy)
- Apple Push Notification Service (APNs) — push notifications for iOS devices
- Google Firebase Cloud Messaging (FCM) — push notifications for Android devices
You can opt out of push notifications at any time through your device notification settings.
Children’s Privacy
The App is not intended for users under 13 years of age. We do not knowingly collect data from children under 13.
Your Rights
You have the right to:
- Access your personal data
- Request correction of inaccurate data
- Request deletion of your data
- Opt out of push notifications at any time through your device settings
